I'm having my wedding at a retreat center in the country and have the place reserved for an entire weekend. My fiance and I are sending out about 40 invitations, and we plan to pay for guests staying friday night. For those people staying Saturday and Sunday nights, is it rude to just say on the invitations "donations of $30 a night would be appreciated"? I know another person who just reserved a block of hotel rooms, and the guests seemed to know they were expected to pay for staying at those -- which would have been much more expensive than $30 a night.

Hmm, I'm not sure, but here's my current thinking. I wouldn't put anything on the invitation itself. I think I'd put it all on an insert called, "Accommodations."

Maybe you could say something like, "We're planning to stay at the retreat center on Friday, Saturday and Sunday nights, and hope that our family and friends will join us. We'd like to treat you all on Friday night, and rooms for Saturday and Sunday will cost $30 per night."

I'd also include some more information about food and activities. Is food provided at the center, or will people have to plan extra money for restaurants? What is there to do?

I'd also think a bit about how you're going to collect money. I assume that you'll have to collect all the money, am I right? If so, I think I'd do it through a Paypal personal account, and send out invoices. Make sure you set a date a week or two before the wedding for final payments.

This sounds like a lot of fun, if you have a nice center and family and friends who are interested in spending a whole weekend together. Good luck!

Your friend's experience was typical: hosts often reserve a block of rooms at one or two hotels, so that the guests are all together at a convenient location and often there is a group rate. But hosts don't usually pay for guests' hotel rooms, so guests don't expect it. It is very nice of you to treat your guests to one night.

Joann is right, don't put any information about accommodations on the invitation itself. Use a separate sheet about accommodations, or even a letter with all the information they will need (like directions and other events and activities of the weekend, not registry info). Joann's wording is good, or you could write, "We will be staying at the XYZ retreat center. It will be our pleasure to treat you for Friday night." Then just include the contact information for the retreat center and let them make their own arrangements if they want to stay the whole weekend (I'm guessing some will want to stay Saturday but not Sunday).

I don't think you need to include the information that the rest of you will be staying through Sunday night. This is a small group (I'm guessing that by "40 invitations" you meant 40 invited guests, not 40 mailed invitations); most of them will probably know anyway, and you can write a little note on the paper informing those who might not know. But if you are doing it in the form of a lengthier letter, you could write something like, "We will be staying at the retreat center through Sunday night, and we would be delighted to have you join us. Rooms are $30 per night, and we would like you to be our guests for Friday night." Then put the contact information for the retreat center.

I'm assuming that the retreat center will (a) allow people to stay for just one night, and (b) they will take reservations and payment directly from your guests, so you don't have to collect the money. Again, for so few guests (some will be in couples or family groups anyway), even if it's not something they usually do, maybe they will.

I definitely wouldn't write "donations of $30 a night would be appreciated." That would just confuse me. Donations to whom, you or the retreat center? Is $30 the cost of the room? For one night or two? Is it optional on my part to pay more, less, or not at all?

Houseful, just as an added idea, when we planned DH's parents' 50th surprise party, one of the things that we added at the last minute was a guest book for all the guests to sign. There was space to add addresses so we could send thank you cards later, and pockets to put photos that we printed off, so the parents could sit back later and reminisce over the events. We enlisted one of the grandteens to wander the crowd, sit with guests, and offer the guest book. It ended up being a lovely memory book! Don't forget to have a few extra vases for flowers that WILL arrive, and need a place to be displayed. Many of the inlaws flowers were later donated to a seniors home, so the vases we picked up were just from the dollar store, and we didn't need to worry about getting them back to owners. Not sure on what your situation will be regarding gifts, but we picked up a large basket for the usual anniversary cards and the small tags that were included with gifts. We also had someone in charge of writing on the back of some of the gift tags, just what the person had given the parents. Made it very easy to mention what the gift had been, and the giver if for instance "Love Mary" had been written on the card. Which Mary? Who? LOL. We ended up with a large 3 ring binder of "stuff", info on bakeries, caterers, videographers, business cards, bed and breakfast locations for incoming guests, maps of the area, etc etc, and pages and pages of notes of who was taking care of what, who was picking up what when, who was booking whatever. It was very handy to have one point of reference for all the info. We had a most lovely time arranging the anniversary surprise, as the parents live in England and some of the logistics of organizing long distance with all the siblings spread out across the UK and Canada, were a little more difficult to iron out. I will say that some of the best moments were not caught on camera or video sadly, but we all have lots of fabulous memories that we cherish! We DID have guests that showed up hours early, for some unknown reason, as they lived near the inlaws, intown, but oh well! We put them to work too! LOL Enjoy your event, and be prepared to be exhausted at the end!

OK, the potluck has turned into not much of a potluck. Besides a pan of sausage, 1 of kielbasa, mac & cheese, baked beans and potato salad, looks like the rest of the contributions are going to be tossed salad, cookies, veggie platter, crab dip, jalapeno poppers (all BBQ type food - this was originally going to be a BBQ at my cousin's house, with them supplying the meat). So, family is still supplying the meat plus more - cousin bought 2 spiral hams (don't know how big - assume that's about 20-30 lbs?), her sister is making rolls (?! for 65 people and counting!), one of my aunts is making a "big" (?) green bean casserole, niece is making (we assume, I haven't talked to her) 24 chicken thighs I left her message that BJ's has that size package for $1/lb. I was going to make chicken thighs too, you think 24 more (about 18 lbs total between the 2 of us) is enough with the ham (other meats may just be enough for a "taste") or should I buy another package? DH thinks that 72 thighs (27 lbs) sounds like too much considering the 2 hams. I'm also thinking I should make a pan of oven-roasted potatoes? Oh, and we can use the oven at the club to warm things, but they don't allow sterno or candles, and the food tables will have to be in the middle of the room so no way to plug in crockpots, etc. The best we could come up with is to just keep warming things in the oven, bring potholders and trivets to put the hot pans on the table and after an hour or so check if things need to be reheated or if everyone's eaten we can pack them up in fridge. My cousin also wants to buy some cheese and crackers, chips and salsa, and potato chips to munch on - I don't know what time she thinks we'll eat, but I think 1. There are some appetizers coming already 2. Party starts at 1:00, if people have eaten already they'll just eat some munchies and want to stay for cake, but I'm betting most people will want to eat "dinner" right away. Oh, yes, I am bringing the Mr. Tea maker so we can make iced by the pitcher if people want that instead of hot coffee/tea, also picking up some jugs of lemonade, she has 5 2-liter bottles of Coke and is picking up some bottled water. Well, I guess the child is always asked. It's just that the mother is consulted first. No one has ever demanded the child come over or just told them they had to. It's just that at this age, they're usually jumping up and down excited before the invitation is finished coming out. Even when I make arrangements for my son in advance, (after the fact) he is asked. "Wanna go to Ben's house on Sat.?" And, I bet if you think about it hard enough, you probably asked your son too; it just wasn't real formal. I'm sure you didn't just say "You're going to Joe's house...get in the car, now!" I would have just thought the mom in my example (who asked if I could drive her kid home) would have said something more along the lines of if he doesn't feel like coming over to play, just bring him home. But, she said he had a problem with being told what to do, and that I would even have to ask him if I could drive him home (yeah, when I'm doing them a favor). Of course, the school was notified that I was taking him home and I had to ask his permission to drive him home. I would have asked if he wanted to come over to play for a while and not just secretly drove him to our home in hand cuffs to play anyway. It's just the order and formality of having to ask that seems odd. It's like the mothers make a big point about having to ask their kids first...just ask them. I would bet the kid's get asked if they want to go to church, or to grandma's, or to a cousin's b-day party. I understand the safety issue or if a kid is uncomfortable about going somewhere, but it's like they're 7 and they get more control of what's going on in the family then the adults do. Funny, though, most of these same parents don't seem to care that no one personally knows (or knows of anyone that knows) their son's boy scout leader from a different school that they leave them with (Only with the kid's permission, I'm sure). But, that's a whole 'nother story.

I agree with the previous posters. I would let the out of towners know your date as soon as you have it for sure, so they can make travel plans. It doesn't have to be a special save the date card or magnet (I did like the magnet I got once, though!) -- mentioning it in Xmas cards or other mail you're sending anyway, or just sending it in an email, is fine -- maybe even preferable. But I also agree that I wouldn't send them to people in town. Last year, I got a few save the date memos for local weddings. I have to tell you, it seemed to me like these families were competing for the guests, and I found it distasteful. I certainly didn't feel compelled, in case of conflict, to attend the event whose "save the date" card came earlier. If you are sending Xmas cards or whatever to people in town, in my opinion it would be okay to mention the wedding date (IF you are going to invite them). Your closest friends and family will know anyway -- at least they will know the general time frame and won't accept any invitations until they make sure it isn't your date. I agree that sending a "save the date" notification of any kind shouldn't count as "the invitation that came first so I have to accept it" -- first of all, you never have to accept ANY invitation; I am pretty sure the "rule" about what came first only applies to BREAKING an engagement for which you have already accepted an invitation in order to accept a better one that came along later (a big no-no). Well, I guess in a way you are supposed to accept the first invitation, because you are supposed to respond yes or no promptly, not wait to see if something better comes along ... But I absolutely agree with Talley Sue that if you already planned on going to an event that you knew about even though you haven't yet received an invitation, that IS a prior commitment anyway.
