I use Google Drive for mine, which is free. I use their equivalency of Excel. Not sure how that would work with images, but you could use their word doc instead. I like the spreadsheet because I can alphabetize by name or location in my garden. I prefer the Google spreadsheet to Excel only because I can access it anywhere.

A database program like Access would work with this also. DH set up a database that he uses to track his art work. Date created, a link to a photo, spots for measurements, wood used, location (his workshop or gallery name) etc. Many of the items are just drop down menus.

photos.. labeled by latin name and then date.. can simple be stored on your hard drive ...

something like this format for the names:

the key is the date.. so they sort first to last.. in date order ...

i would presume you could link to the pic in a dB ....

Maybe a generic Inventory tracking app like "Sortly"? It's free. You can add pictures and custom tags. I haven't tried it, but the reviews are good.

There's an app, Scanbot, that will turn photos of text into a searchable PDF file. I thought of using it to take pictures of my plant tags (mostly perennials) in order to avoid data entry. It would require at least an iPhone 6 (don't know about Androids) and the paid version of the app (the paid version gets you the search function). Supposedly, you can assemble documents of at least 100 pages. I meant to make it a winter project, but it didn't happen, so I can't say if my idea would actually work.

Don't claim to be very techie about retaining our perennial cultivar identifications over years.

We now have rather a lot of garden pictures (on locations in the bed, as well as of individual plants - very useful in retaining identifications) (use Mac Photos), but also keep site maps drawn for perennials at the time of planting.. I find yearly summaries of what's still there, at least for my choice of key plants, is also necessary (different summaries made at appropriate times during the growing season). This almost always works for plant identification over time, at least for me; and that, with our perennial beds which are kept crowded.

I also find uploading key (for me) photos of individual plants to the Plants Database of the National Gardening Association helps me to keep identifications sorted out in my own mind. Occasionally, the Plants Database has to correct my submissions (clerical errors on my part). And, I also really like the friendly and focused way in which the occasional disagreements from me are handled.

With the cultivar name (plus the common name or the rest of the botanical /horticultural name) other things can be looked up.

I highly recommend azzcardfile, a free Windows program that acts like an old fashioned index card file. Only it has no size limit. Accepts photos and almost anything you can think of. My azzcardfile plant inventory became so large, I divided it into different files, Perennials, Roses, Fruiting Plants, Landscape Plants, Dearf Conifers, and so on. I become a registered user for a small amount of $$$$, and it's well worth it to support the developer for creating such a useful program. I use it for Recipes. I have another file for books I've read. Another for Movies I've watched. Another for Home Inventory. Another for all my Audio and Video gear (I have a lot). The possibilities are endless.
